Information handled
The CRM may store renter names, contact details, booking history, payment/deposit records, equipment handover records, incident notes, valid-ID copies, payment proofs, signed agreements, and release/return photos when the operator chooses to collect them.
Purpose
Data is used to manage reservations, verify renters, document equipment release and return, record payments and deposits, resolve incidents, maintain accounting records, and protect rental equipment.
Where data is stored
Core working data may be stored in the browser on the device using the CRM. When the operator connects its own Supabase project, encrypted HTTPS connections are used for authentication, cloud snapshots, and private file storage. Private files are opened through short-lived signed links.
Online booking portal
When the Uprentals online booking portal is enabled, customers may submit contact details, rental dates, selected equipment, rental method, a valid-ID copy, acceptance of rental terms, and an electronic signature. Public portal users do not receive access to the private CRM workspace. Booking-request documents are stored in a separate private intake area and are available only through authorized staff access. A private status link containing an access token may be issued to the customer; customers should keep that link confidential because possession of the complete link can allow access to that booking request status.
Sharing
Uprentals should limit access to authorized staff and service providers needed to operate the rental service. Renter data should not be sold for advertising.
Retention and deletion
The CRM includes an operator-controlled retention period for renter verification files such as Primary ID, Secondary ID, and Proof of Billing. The production default is 12 months after a booking is closed, and the operator can review eligible files before permanently purging them. Signed agreements, booking records, payment/deposit history, and audit records are retained separately according to business, tax, fraud-prevention, dispute, and applicable legal requirements.
Security
Recommended controls include authenticated cloud accounts, private storage buckets, row-level security, role-limited access, HTTPS hosting, regular backups, and device security.
